The level of collaboration depends on the use case for the collection. In many cases, only a few people will build and curate a collection. In other use cases, content can be created by multiple user contributions. Collection owners and moderators can invite collaborators. They can also set the collection's privacy settings so that members of the organization can contribute without an invitation.

Collection Roles

Collection roles include owner, moderator, contributor, and viewer.

An Owner has full control over the collection. A Moderator can do everything an Owner can, except delete this collection. A Contributor can contribute content to the collection, and view the collection. A Viewer can only view the collection. Any user with access to a collection can follow it to receive notifications.

Managing Collaborators

In view mode, Collaborators are displayed beside the owner in the collection header. In edit mode, the number of collaborators on a collection is displayed next to the Manage Team button.

Owners and moderators can invite collaborators, change collection roles, revoke access, leave the project, and resend or cancel invites.

Inviting Collaborators

Owners and moderators of a collection can invite collaborators. To invite collaborators, enter edit mode and click Manage Team.

Once on the Manage Team page, click New Invite on the top right. You can send an invite by link or by email address. You can create multiple invites for different roles and expiration dates.

Invite by Email

After clicking New Invite, select Invite by Email. Enter the email address of the person you want to invite and select their role. To invite multiple people, click Invite More Members. You can set an expiration date and manually remove it later. Once you are done, click Send Invites to send the email invitations and return to the Manage Team page where you can create additional invites, revoke invitations, and manage roles.

Users without Enwoven accounts must sign up with the email address the invite was sent to. Once logged in, users can use the email invite to accept the invitation. A user’s pending invitations appear in their Activity Feed.

Invite by Link

After clicking New Invite, select Invite By Link. Select a role for the invite. The invite link can be restricted by domain or allow any email address. You can also set an expiration date and manually remove it later. Once you are done, click Create Link to return to the Manage Team page, where you can create additional invites, remove invite links, and manage roles.

Here's a short video that shows how it's done.

Contributors

Collaborators with the role of Contributor can submit content to a collection for approval by an owner or moderator. If you are a contributor, click Contribute in the collection header to start submitting content.

Click + New Contribution and select from the upload options. For more information, see Adding Content

Once you are done, the content will appear as Pending Approval. You can make edits to your submissions by clicking Edit on the content. For more information, see Editing Content.

Review Contributions

Collection owners and moderators can see pending contributions in the collection header in edit mode
